Create manual payable or receivable items

Creating manual payable or receivable items allows you to post sales and purchase invoices created outside Visma eAccounting Standaard using a manual journal entry. When the journal entry is posted to the ledger, the invoices will be listed as unpaid under Sales invoices and Purchase invoices. Please note that an invoice that was created as a manual journal entry will not have article rows.

  1. Go to Accounting - Journal entries.
  2. Choose New journal entry.
  3. Enter the Date and Description.
  4. Select Account. To register a sales invoice use the ledger account for sales (for example 1200), for purchase invoices use the ledger account for purchases (for example 1500).

Please note that you may have to change the settings for these ledger accounts to allow manual registration. This setting is made under Settings - Chart of accounts for each account that you will be registering items for.

  1. Click anywhere in the field below the Customer/Supplier column.
  2. Choose New payable item or New receivable item and enter the invoice information. Ensure that the box Register invoice directly in the ledger is checked.

Please note that if you enter a negative amount as the Total amount when creating the new manual payable item, a credit note will be created.

  1. Choose Save.

The payable or receivable item is preliminary saved and connected to the journal entry row. If you remove the journal entry row, the item will be removed too.

  1. Add rows to the journal entry to balance the registration of the payable or receivable item.
  2. Choose Post to ledger.

The manual payable or receivable item is entered into the ledger and the invoice created will be listed as unpaid under Sales invoices or Purchase invoices.
