Receive e-invoices

Via Visma AutoInvoice, you can receive e-invoices from your suppliers. In order to receive e-invoices, you must indicate this in Company settings. Read more at nl.visma.com about prices for receiving e-invoices.

When you receive an e-invoice a PDF file is attached. That makes it possible for you to look at the invoice in detail. If the supplier has sent attachments with the e-invoice, these are shown together with the PDF file of the invoice. The program can only receive attachments in PDF, png, tif, tiff, jpg, jpeg or gif format. If the supplier sends an attachment in another format, it will not be shown in your program.

  1. Go to Apps and extensions and select Receive e-invoices.
  2. Fill in the required information.

Within 24 hours you will receive a notification which tells you that receiving e-invoices has been activated. You will also find a Supplier information sheet, which you can send to your suppliers to inform them of how to get started with e-invoices. When a supplier sends you an e-invoice, you will receive a notification of this. Received e-invoices are placed under Purchasing - Purchase invoices, the tab Drafts.

  1. Click on the link in the notification or select Purchasing - Purchase invoices, the tab Drafts.
  2. Select the purchase invoice you want to register.
  3. Choose Actions - Open.

The purchase invoice is loaded. The program tries to match the e-invoice's corporate identity number and bank account with the information you have in the supplier register. If the supplier has not already been included, it is added automatically.

  1. To post to ledger, select the account the invoice should be posted against and choose Post to ledger. To continue working with the invoice later on, choose Save as draft instead.

If you have registered invoices from the supplier in the past, the same accounts used for the previous invoices are suggested. When the invoice is posted to the ledger you find the invoice in Purchase invoices - Unpaid purchase invoices tab.
