Assign employee to work schedule
This topic only applies to payroll administrators who work in Visma Lön 300/600.
If you are working in Visma Lön Smart, you enable all the work schedule settings there. In Visma Lön Anställd you can only see which settings that are used. Read more in the topic Assign employee to work schedule in the Visma Lön Smart help text.
There are many advantages when it comes to assigning work schedules to employees. When it is done, you will get help:
- calculating the correct overtime for part-time employees,
- calculating the correct overtime compensation,
- determining when compensation for unsociable hours should be paid,
- making sure that leave (such as sick and parental leave) will be correctly registered in the payroll program,
- managing flexitime calculations and seasonal hours.
Under Scheduling - Work Schedules, click on the icon in the Employees column to see which employees are linked to the work schedule. The list also displays employees who have future dates set for the work schedule in the field Valid from.
For employees with the pay type monthly salary, you cannot select a work schedule with irregular work hours, which lacks settings for average weekly working hours and average employment rate.
Do the following to assign an employee to a work schedule:
- Select Scheduling - Work schedules.
- Choose the icon to the right in the Employees column on the row for the work schedule you are assigning the employee to.
- Select one or more employees that you want to assign to the work schedule. You can also use Select all.
The green line to the left in the Emp. no. column shows which employees that have been selected.
- Select Next.
If the work week consists of several weeks, the Start-up week field is shown.
- Choose which week and employee that should start using the work schedule under Start-up week, if the work schedule consists of several weeks.
- Enter from which date the work schedule should apply for each employee in the Valid from column. Enter the date in the YYYY-MM-DD format, or select a date using the calendar button.
When a row is active, you can click on the icon in the Actions column to copy the settings and paste them to another employee.
- Select Save and continue.
In the last step all employees that have been updated with a new work schedule are shown, as well as when they are valid from.
