Assign employee to work schedule
There are many advantages when it comes to assigning work schedules to employees. When it is done, you will get help:
- calculating the correct overtime for part-time employees,
- calculating the correct overtime compensation,
- determining when compensation for unsociable hours should be paid,
- making sure that leave (such as sick and parental leave) will be correctly registered in the payroll program,
- managing seasonal hours.
Under Settings - Payroll settings and the Work schedules tab, you click on the icon to the far right in the Employee column to see which employees who are assigned to the work schedule.
For employees with the pay type monthly salary, you cannot select a work schedule of type irregular work schedule, which lacks settings for average weekly working hours and average employment rate.
Do the following to assign an employee to a work schedule:
- Select Settings - Payroll settings.
- Select the Work schedules tab.
- Select the icon to the right in the Employees column on the row for the work schedule you are assigning the employee to.
- Select the employees you want to assign to the work schedule or check the box at the top of the column if you want to assign all employees to the work schedule.
You can filter which employees to show in the list based on the employees' workforce category or pay type. You can combine these filters so that for example only administrative workers with a monthly salary are shown.
- Click Next.
- Click on next to each employee and enter from what date the work schedule should be applied in the Applies from column. Enter the date in the YYYY-MM-DD format, or select a date using the calendar button.
- Click the green check mark to save the setting.
When a row is active, icons for changing and deleting a change are shown in the Actions column.
- Click Save and continue.
In the last step all employees that have been updated with a new work schedule are shown, as well as when they are valid from.
