Adjust pay codes
Here we have put together a list with the most common types of pay codes, that you can easily create yourself by copying one of the standard pay codes and adjust it after the company's needs.
You adjust these settings for pay codes under Settings - Payroll settings, the Pay codes tab. Click on the icon to the far right of the standard pay code that you want to copy.

Care of close relative |
Copy pay code 3318 - Care of sick child 100% deduction for salaried employees. Make two copies, where one pay code is holiday accruing and one is non-holiday accruing. The settings for if the pay code should be holiday accruing or non-holiday accruing is adjusted on the tab Basic information under Affects the basis of:. |
You should check how your collective agreement handles deductions when the employee received disease carrier allowance. If you don't have a collective agreement or if it isn't stated how deductions should be handled, it is then possible to base it on the same principles for when deductions are made in conjunction with sick leave. For salaried employees, copy the pay code 3332 - Deduction other leave, deduction per hour and for hourly employees copy the pay code 3360. Write an appropriate name by the Name field, for example "Disease carrier allowance. Read more about disease carrier allowance at forsakringskassan.se (in Swedish). |

Overtime 4 |
Copy a pay code for overtime and adjust the settings so that they correspond to the company's rules for Overtime 4. It is not possible to include the new pay code in calendar or the shortcut, since there are only three fields available. The new pay code for Overtime 4 therefore needs to be manually picked up on the payslip to be usable. |
Pregnancy benefit |
There is no default pay code for pregnancy benefit, but you can copy one of the pay codes for parental leave, for example 3301 - Parental leave, deduction per hour, 3305 - Parental leave deduction per day, 3309 - Parental leave calendar day deduction, or 3313 - Parental leave whole month depending on how long the leave will last. You then make a deduction on the salary and the employee gets compensation from Swedish Social Insurance Agency (Försäkringskassan). |
If you create own pay codes by copying 1101 - Monthly salary or 1106 - Hourly wages, you can't add your own pay codes under Recurring items on every payslip if you at the same time want to use the default pay codes. When you create a pay run you can, however, use the default pay codes and your own pay codes on the payslip. In other words, it's only under Recurring items on every payslip where you can't use those in combination, and it is only when you have copied the pay codes 1101 and 1106. Pay codes that have been created from other default pay codes can be used in combination under Recurring items on every payslip..
If you are going to pay extra per hours (for example responsibility compensation), we recommend that you copy the pay code 1174 - Other compensation, gross, instead of 1106 - Hourly wages. Write for example Responsibility compensation in the description, add the extra amount per hour that you are paying in the field Formula and mark Price per unit. The new pay code can be added under Recurring items on every payslip. Then you will only need to add the amount of hours when you do the pay run.
Reccuring items on every payslip can be added on the Salary tab, under Lön Smart - Employees.
