The first time you use this window, you need to click the to be able to make the make your selection for the report. If you previously have use EC sales list (old) (AR40500S) for your reports, you should confirm your last send EC sales list in the Confirm latest processed EC sales list (IA40501S) window before you start using this window for your future reports.

Button Description
Close period

Click this button to close the selected reporting period. When the period is closed, the Send button becomes available.

If there is any warning on the Reporting tab, you will not be able to close the periods, A dialog box will appear with the message:

You can not close the period due to missing or incorrect values. Use the 'Show only lines with warnings' check box to review the transactions and correct the values.

Send Click this button to send the EC sales list to AutoReport. When the report has been sent, you will see the report transfer status, date and message on the right side of top part. If the report wasn't successfully sent, you can correct the errors and resend the report.
Element Description
Report no. The report number generated automatically when you have clicked Save.
Company

Select your company.

This field is only available if the Multi-branch support check box is selected and enabled in the Aktivera/inaktivera funktioner (CS100000) window.
Branch

Select a branch.

This field is only available if:

  • In the Aktivera/inaktivera funktioner (CS100000) window,
    the Multi-branch support check box is selected and enabled..
  • In the Organisations (CS101500) window,
    • the Organisation type field With branches not requiring balancing is selected.
    • on the Organisation details tab, the File EC sales list by branch check box is selected.
Report year The report year.
VAT supplier The tax agency according to the country where the transactions are reported. The suggested tax agency can be defined on the VAT information tab in the Organisations (CS101500) or Branches (CS102000) windows.
Period

The reporting period from which the list will be compiled.

If the VAT report period is set up with one of the following:

  • Quarterly
    - you will see four periods with Start and end month
  • Yearly
    - it will show January - December
Report status The status of the report. If the status is open, Open,
Report revision

The revision/version of the report. You can send revisions
Element Description
Include

Here you decide if you want to send all revisions or the current revision.

  • All revision
    Sums up all revisions and you will send a replacement report.
  • Current revision
    Only sends the transactions from the selected revision. If a customer has transactions in a previous revision, the value will be added up to the selected revision.
Include old transactions

When creating the report you have transactions from a previous period that have not been reported you can select the number of months you want to include back in time and report these in this period.

  • None
  • One month back
  • Two months back
  • Three months back
  • Six months back
  • Twelve months back
Element Description
Sum sales of goods Sum of all transactions where VAT ID has Report code set to Sales of goods
Sum service Sum of all transactions where VAT ID has Report code set to Sales of service
Sum triangulation Sum of all transactions where VAT ID has Report code set to Triangulation
Show only transactions with warnings

Select this check box to view only lines with warnings. This may display the following warnings:

  • EC sales list is disabled for this customer. Enable this setting in the Customers window if you need to include this customer in the report. (Only on the Transaction tab)

  • VAT registration ID is missing. Add VAT registration ID for the customer.

  • The customer is a domestic customer and should not be reported. Correct the country registered for the customer or exclude the customer/transaction from the EC sales list.

Column Description
Country

The EU country where the customer is registered.

A warning is displayed if the country is not defined as a intrastat country or if the country is equal to the company or branch, meaning it is a domestic transaction. You have to change the setting on the customer or deselect the line in the Transaction tab.
Customer

The customer whose details will be reported.

A warning is displayed if EC sales list is disabled for this customer. Enable this setting in the Kunder (AR303000) window if you need to include this customer in the report.
VAT registration ID

The customer's taxpayer ID associated with the location.

A warning is displayed if the customer/location is missing VAT registration ID. You have to add VAT registration ID on the customer.
Report code

The report code of the transactions to be reported, accordant with the EU regulations.

  • Sales of goods
  • Sales of service
  • Triangulation
Total value The total value of the transactions to be reported.

Select all Clicking this button will select all in the table below.

Column Description
Selected Only the selected transactions will be included in the Report tab. You can use the buttons Select all or Deselect all to modify the report before you send it.
Financials VAT date

The end date for tax period which is used when selecting documents. It has to be within the selected month in the Period field and Include old transactions.
Post period The financial period the transaction is posted in.
Transaction date The document transaction date.
Workspace For this report, only transactions from the Kundreskontra workspace are included.
Trans. type The document type, Invoice, Credit note or Purchase credit note.
Doc. no. The invoice number of the document.
VAT registration ID

The VAT registration ID of the document.

The ID is linked to the location of the document. If your company has locations in different countries with different VAT registration ID, the documents will be reported according to the location.

A warning is displayed if the customer/location is missing VAT registration ID. You have to add VAT registration ID on the customer

Taxable amount The taxable amount.
Revision The number of the transaction that was created.
Branch The branch ID for the document.
