Adjust invoice basis
All the created invoice bases, not yet transferred to the financial software, are transferred to the Invoice basis tab under the menu item Invoicing. You can adjust an invoice basis by clicking on it in the list. Following adjustments can be done:
Every invoice detail has Our reference and Customer reference fields. When the invoice basis is created, the program will suggest the customer account manager as Our reference. The program will suggest the person registered as the customer's main contact as Customer reference. You can choose another reference using the Edit references button on the Invoice rows tab.
On the Invoice specification tab, you can adjust existing time registrations that are on the invoice basis. You can do this by clicking on the relevant row. You can edit most information except Time worked. Editing the chargeable time will affect the employee utilization ratio.
You can use the New time registration when you click the button New registration on the Invoice specification tab when you need to add a time registration to the customer invoice. You cannot specify any time worked, but the time registration dialog will otherwise work as normal. A registration that is created from the invoice basis can be edited or deleted as long as the base has the status Not approved. To edit or delete such a registration, click on the row.
When you add a new registration for a task that has a fixed price, these hours will be invoiced over and above the agreed fixed price.
You can use the New outlay registration when you click the button New registration on the Invoice specification tab. An outlay registration that is created from the invoice basis can be edited or deleted as long as the base has the status Not approved. To edit or delete such a registration, click on the row.
If a few time or outlay registrations have been included in the invoice basis and they are not being invoiced yet, click on the minus icon to the far right of the registration on the Invoice specification tab. The registration will then be removed from the invoice basis but remain in the program and will be available the next time you create an invoice basis. You can also choose to invoice an entire task later, this means that all the time registrations on the task will be removed from the invoice basis.
You can add a text row on the Invoice rows tab via the Add text row icon to the far right.
