Getting started with Visma Advisor - Administrator

Before you start

Make sure that the access for your colleagues are correctly set up in Mina tjänster - this is where you administrate the licenses for your colleagues and where you log in to Visma Advisor.

If you want help importing your customers from another system, contact Visma Spcs support.

Set up the agency

The settings are crucial. If you do it right from the beginning, this work will save you loads of time.

Make all necessary settings for your accounting office under Settings - Agency settings.
Take a look at the invoicing settings. Here you can select in which level of detail you wish use for your invoice basis.
Define the office hours during holidays. The public holiday work schedule defines how the holidays will affect the employees' standard work schedule.

If you intend to use locally installed programs like Visma Administration, Visma Bokslut or Visma Skatt you can start these via Visma Advisor Connect. Go to Settings - Agency settings - Other settings to download Visma Advisor Connect.

Set up the users and their rights

You add Employees under Settings - Employees. The employee will automatically be added to the program when the administrator gives the employee access to Mina tjänster via Visma Advisor.

Add the regular work schedule for each employee on the Work Schedule tab.

Set up tasks

The tasks are vital both when registering time and when creating the checklists so that you get a good overview of the current statuses.

Visma Advisor has a set of standard tasks where you can either edit the tasks so they suit your purposes or add new ones. What tasks do you intend to work with? Narrow down and do not enter too many, it will only make life harder.

Add checkpoints to the task

In a task you enter checkpoints, so it will be easy for you to follow up on. Review the standard checkpoints and make any necessary adjustments, edits, or additions to ensure they align with your agency's requirements.

A good thumb rule is to not add more than 5-6 checkpoints/task and use short names. This will significantly improve your checklist overview. Simplify the work by adding automatically updated checkpoints wherever it is possible.

Connect time registrations to the task

The time registration activities on a task is used by the employees registering time. Check and match the activities with the articles you have in your payroll system or accounting service. Read more under Activities for time registration.

Add your price lists and outlays

When you add a price list, the activities that you are pricing are those that are defined for each task. Activities can be priced either per hour or per transaction depending on how they are defined in Settings - Tasks. Read more in Price lists and Add a new price list. Perhaps you are going to update your prices? Then you can read in Add a new period facing a price change on how you do that.

To simplify things, limit the number of price lists you create. Maintaining and updating fewer lists is easier to handle.

Having recurring outlays? Create a register for recurring agency outlays so when you register an outlay, it can be retrieved and all necessary information is entered automatically.

Advisor KYC - General risk assessment and Know your customer

The general risk assessment is a central part of the agency's anti money laundry work. In the general risk assessment, the company's services should be analysed and assessed in terms of the risk of being used for money laundering and financing of terrorism. We recommend that the general risk assessment is completed before proceeding with customer specific assessments. By doing this, parts of the risk assessment will be merged to the customer knowledge, which will greatly facilitate the process for all the employees, who will work with the Know your customer process.

By now you have gone through the basic settings for the service and you are ready to start working in Visma Advisor. But there are more settings that you can benefit from, take your time and enter them as they definitely will be worth the extra effort.

Routines - a great way to assist your employees

As an administrator you can add routines for your agency. The routines facilitate the everyday work for the employees, because they can easily find information about, for example, how customers should be administered, what to think about before inviting a customer to a collaboration, etc. Simply a great tool that will answer a lot of questions, even if you are away.

If you require additional customer information that is not already available in the system, you can create custom fields to help you sort and filter through your customer data. For instance, you could add a field to indicate which regulations a customer follows for their annual report. This is information that is easy to add, easy to use and easy to find.
